CONDITIONS

Venue

You must comply with the rules and regulations governing the venue. If you bring any property to the venue you do so at your own risk.  We are not responsible for any loss and/or damage to such property.  If you are using car parking facilities at the venue, you do so entirely at your own risk.  We do not accept any responsibility for any loss and/or damage resulting from your use of such car parking facilities.  We reserve the right to refuse admission to any person whom we consider in our absolute discretion to be unsuitable for admission to the conference or to remove such person after the start of the conference.

 

After 10pm attendees are requested to be considerate of noise levels, in particular around the residential areas of the hotel.

 

Conference Changes

We reserve the right to make any changes to the conference at any time without prior written notice. For example, such changes may include changing the programme staged and timetable. 

 

Cancellations & Substitutions

We reserve the right to cancel the conference at our sole discretion for any reason and at any time. In the event of such a cancellation, we will refund any registration fees paid and will use reasonable endeavours to notify you of such cancellation.

 

If you wish to cancel you must email us at contact.pitcon@gmail.com as soon as possible as this will impact whether we can give you a refund of your registration fees.  Unless stated, if you cancel 30 calendar days or more before the first day of the event, we will refund your registration fees minus the administration fee. However, if you cancel less than 30 calendar days before the day of the event, we will not be able to refund your ticket or fees.

 

If you cannot attend the conference we are happy to accept a substitute delegate without charge. Please send your request at least 72 hours before the first day of the conference setting out the name of the delegate who will not be attending as well as the full name of the substitute. 

 

Data Protection

To the extent that you provide us with Personal Data, we shall process such Personal Data as an independent Data Controller. We maintain administrative, technical and physical safeguards to protect the personal information against accidental, unlawful or unauthorised destruction, loss, alteration, access, disclosure or use.
 

Photography

If you wish to take a photo of an individual please ask for consent before doing so. If you wish to take a photo of a child (16 and under), then the consent for photos must come from the parent/guardian as well as the child itself. It is not permitted to post photos of any children on the internet without consent from the parent/guardian of the child. This applies to photos where the child is the subject rather than crowd scenes or shots with children in the background. Taking photos of general crowd scenes, panels and talks is fine, but if you post these to the internet and someone in the photo asks for it to be removed, please act on the request. If any photos appear on line during or post event and you do not wish for those to be displayed, please contact us or the person involved to request removal.

Audio Recording

All or some part of the event may be audio recorded on the day. By taking part in these sessions or making recordable noise you are giving consent to the recording and broadcast of this.

Disabilities

​​The Belfry Hotel does their utmost to ensure their hotel is accessible to all. There are some natural areas of ground and landscape whereby assistance with a wheelchair is needed and in some areas may be limited. If you have any particular questions or queries please do not hesitate to contact us or the hotel directly.

All of the seating is movable in the rooms.  We will ensure there is a wheelchair space in the main room, but we are more than happy to move chairs to allow access to any of the activities.

If you have any allergies (eg. food allergies or feather pillows) or dietary requirements please do contact the hotel prior to your stay to discuss any needs you may have.

Guide/hearing/assistance dogs will be permitted at the venue

Harassment, Bullying, Prejudice, Unreasonable Behaviour

No harassment, bullying, prejudice or unreasonable behaviour will be tolerated. We will not tolerate any behaviour which makes people feel unwelcome on the basis of gender, race, age, disability, religion, class, sexual orientation, body size or physical appearance. We reserve the right to refuse entry to anyone for any reason.  

​Harassment includes: Offensive or aggressive written or verbal comments, irrespective of whether offence is intended. Intimidation, stalking or following. Photographing or recording someone without their permission. Sustained disruption of talks or other events. Uninvited physical contact. Uninvited sexual attention. Threatening words or actions. 

 

People who are accused of harassing behaviour may be asked to leave the event. No refund will be offered in these circumstances.
